To operate and secure our Platform, we collect information in three ways: information you provide directly, information collected automatically, and details generated by your public activities.

A. Information You Provide Directly

Account Registration: When you register for an account to create or edit articles on the Platform, we require you to provide a unique username, an email address, and a password. Passwords are encrypted and are not stored in plaintext.

Inquiries & Correspondence: When you contact us using the contact form on our website, we collect your name, email address, the subject of your inquiry, and any message content you choose to submit.

B. Information Collected Automatically

Log Data: Like most online services, we collect log files automatically. This includes your Internet Protocol (IP) address, browser type, operating system, referring URL, pages viewed, time and date stamp, and interaction metrics.

Device and Location Info: We may detect general geographic location based on your IP address, browser locale, and basic device settings.

C. Public Wiki Contributions

Public Edit History: VelurPedia is a collaborative wiki. When you create, edit, or modify any article or page, your edits and your username are recorded permanently in the public edit history. This history is visible to anyone browsing the site. If you choose to contribute, please be aware that any personal information you write into the articles or your user profile will be made publicly available.

2. Cookies and Local Storage

We use cookies and similar browser storage mechanisms to enhance user experience and maintain session persistence:

  • Authentication and Sessions: We use local storage and session variables (managed via Supabase Auth) to keep you logged into your account across browser sessions.
  • Language Preferences: Third-party integrations, such as Google Translate, set cookies (e.g., the googtrans cookie) to remember and display the website in your preferred language.
  • Preferences: We may use cookies to store basic UI preferences (e.g., sidebar toggles).

You can control and disable cookies through your web browser's settings. However, disabling cookies may prevent you from logging in, editing pages, or utilizing multilingual translation features.

3. How We Use Your Information

We use the collected information for the following specific purposes:

  • Operation and Maintenance: To authenticate your account, allow edits, track page revisions, and render the website correctly.
  • Attribution of Contributions: To attribute edit history to the correct user account as required by the Creative Commons Attribution-ShareAlike 4.0 license.
  • Security and Vandalism Prevention: To monitor for malicious behavior, detect vandalism, block abusive users, and secure the Platform's database.
  • Communication: To respond to legal inquiries, copyright claims, or general questions sent via the contact form.

4. Data Sharing and Third-Party Services

We do not sell, rent, trade, or share your personal data with third-party commercial entities. Your personal information (such as your email address) is never disclosed, except under the following circumstances:

  • Service Providers: We utilize trusted infrastructure providers, such as Supabase for database and authentication hosting. These providers are bound by strict security and confidentiality terms.
  • Third-Party Integrations: The Platform integrates Google Translate API to render translations. When translating, translation queries and cookie states may interact with Google's servers.
  • Legal Compliance: We may disclose information if required to do so by applicable law, court order, government subpoena, or to protect the safety, rights, and property of VelurPedia and its community.

5. Data Security

We implement industry-standard administrative, technical, and physical security measures to safeguard your personal data. This includes secure database policies, SSL/TLS encryption for all traffic, and Row-Level Security (RLS) on our databases. However, no electronic storage or transmission over the internet can be guaranteed to be 100% secure. You accept that you provide information to us at your own risk.

6. Data Retention

Account Data: We retain your registration email and credentials as long as your account remains active.

Edit History: Edit histories are permanent archival records of the encyclopedia. Because edits are licensed under the CC BY-SA 4.0 license, revisions cannot be deleted or revoked, and your username will remain permanently associated with your contributions.

7. Your Data Rights

Depending on your location, you may have rights regarding your personal data. All registered users may log in to update their password. If you wish to delete your account or have your email address removed from our backend database, you may submit a request through the Contact Page form on the website. Please note that deleting your account will not remove your historical public text edits, which are retained for archival purposes.

8. Changes to This Privacy Policy

We reserve the right to modify this Privacy Policy at any time. Any revisions will be immediately posted on this page with an updated "Effective Date." We encourage you to review this policy periodically to stay informed about how we protect your information.
